Engagement Coordinator 

Reports to: Director of Coaching Excellence

Location: Fully remote, working US Eastern Time hours

Pay: $24,000 a year to start, rising with each year of service

About this Role 

Engagement Coordinators are the EMERSE equivalent of paralegals in a law firm. They are the operational backbone of client delivery: engagements run smoothly, coaches are fully supported, and clients get a seamless experience. The role combines project management, client administration and sales support, and it builds deep knowledge of EMERSE's products and services.

This role suits someone who is highly organized, detail-oriented and always looking to improve how things work. Coordinators handle logistics and administration, and they also support clients directly: answering questions, running NPS surveys and keeping the CRM current. Over time, a Coordinator becomes a near-substitute for a coach on operational matters, which makes the role an indispensable part of how EMERSE delivers.

The Role 

The Engagement Coordinator makes sure coaches and clients are fully supported through every engagement. You'll keep visibility over all the clients assigned to you, keep the CRM accurate, prepare contracts and sales decks, track renewals, client spend and NPS results, and make sure every client journey is documented and improved.

You'll be expected to know EMERSE's products and services as well as the coaches do, and to step in and answer client questions where appropriate. The role goes beyond administration into solving problems before they land, improving how we work, and freeing coaches to focus on high-value client delivery.

What You'll Do 

  • Keep Membrain, our CRM, current with each client's journey, renewals, spend and NPS scores.

  • Coordinate each client from onboarding through renewal as their trusted point of contact, and monitor client health.

  • Run NPS surveys and track client satisfaction.

  • Track program results and produce reporting that drives decisions.

  • Prepare and edit sales decks, proposals and contracts for the coaches.

  • Prepare engagements with the coaches: Miro boards, playbooks, OMG evaluations and programs.

  • Coordinate scheduling, logistics and communication with clients.

  • Own engagement administration: preparation, debriefs and content updates.

  • Work with the coaches to keep dashboards and reporting up to date.

  • Build and organize client playbooks, and act as Playbook Champion internally.

  • Improve systems, templates, processes and delivery tools to raise the standard.

  • Know EMERSE's products and services well enough to field client questions or step in for a coach when needed.

How Success Is Measured 

  • CRM accuracy at 100% for your clients: renewals, spend and NPS.

  • NPS surveys run consistently and reported on time.

  • Sales decks and contracts delivered to coaches within agreed timelines.

  • Engagements scheduled and delivered without errors or delays.

  • Playbooks and program content kept accurate and up to date.

  • Coaches fully ready for every session, with materials in hand at least five days ahead.

  • Positive feedback from coaches and clients on the quality of your support.

Job requirements

What You Bring 

  • Experience in coordination, project management or professional services support.

  • Strong organizational skills and the ability to run several engagements at once.

  • Excellent written and spoken English.

  • Fluency with CRM systems, project trackers and content platforms.

  • A proactive mindset: you anticipate needs and solve problems on your own.

  • High standards of accuracy and attention to detail.

Requirements 

  • Prior experience in a coordination, paralegal or project management role preferred.

  • Comfort working in a fast-paced, remote-first environment.

  • Availability to work US Eastern Time business hours.

  • The ability to work across several coaches and client teams and keep them aligned.

  • Willingness to learn EMERSE's products and services to the same depth as the coaches.
